Terms for the online photo workflow
These terms govern the use of the online passport, visa and ID photo service offered through the OnTimeDocs Photo Studio workflow.
1. Service scope
The service lets you upload or capture a portrait image, select a document profile, receive automated diagnostics, obtain a processed export when the selected profile allows it, and generate a receipt for the service.
2. Eligibility
You must be at least 18 years old, or use the service through a parent or legal guardian.
3. User responsibilities
- You must have the right to upload the image and the authority to request the service.
- You must choose the correct document profile and verify whether the receiving authority allows digital editing.
- You remain responsible for reviewing the final image before using it in any official process.
4. Compliance modes
Some authorities prohibit digital alteration, background replacement or AI-assisted retouching. When you choose a strict no-edit profile, the service will not perform cleanup and will only provide technical diagnostics. Final acceptance always depends on the receiving authority.
5. Validation output
A photo marked as validated means that it passed our automated internal checks for resolution, framing, lighting, sharpness and background consistency according to the selected workflow. It does not create a legal guarantee of acceptance by any government authority.
6. Price and receipt
The service price is CAD 11.95 per processed photo. After the workflow is completed, the platform issues a receipt page with the order number and service summary.
7. Refunds and reprocessing
If the service output is technically unusable due to a processing failure attributable to the platform, we may reprocess the photo or issue a refund. If a receiving authority rejects the photo, we may request documentation showing the exact reason for the rejection before determining the appropriate remedy.
8. Availability and limitations
We may suspend, limit or reject uploads that are corrupted, unsafe, abusive, unlawful or incompatible with the service. We are not responsible for failures caused by user devices, network interruptions, incorrect profile selection or authority-specific requirements that differ from the chosen workflow.
9. Privacy
Data protection and privacy terms are described in the privacy policy, including the Brazil-based LGPD framework used for this service.

11. Governing rules
These terms are drafted for a service operated from Brazil and should be interpreted together with applicable Brazilian law, especially the LGPD for personal data matters, without excluding mandatory consumer or privacy protections that may apply in the user's jurisdiction.
